Overview Position: Office Administrator. The role oversees office procedures, manages administrative duties, and maintains a first-class work environment with a focus on organizational effectiveness, communication, and safety. Flex work model: onsite 2-3 days per week or as needed by business requirements. Responsibilities Office Management: Maintain office efficiency by planning and implementing systems, layouts, and equipment procurement. Policy and procedures: Design and implement office policies by establishing standards and procedures, measuring results, and adjusting as necessary. Visitor support: Greet and provide general support to visitors in a professional manner. Onboarding support: Assist HR and IT in the new hire onboarding process including training and administrative onboarding setup. Internal communications: Work with Corporate Communications to draft, edit, and/or send internal company-wide or targeted communications. Vendor liaison: Liaise with property management and facility vendors (cleaning, pest control, plant services, security, etc.) and manage contracts and price negotiations. Administrative & Project Support: Prepare agendas, collect and compile slides, prepare meeting recaps, follow up on action items; complete expense reports to ensure prompt monthly payment; support direct report and directors with ad hoc projects; plan off-site meetings including catering, hotel rooms, agendas, and slide management; schedule meetings and maintain calendars; resolve conflicts proactively. Requirements 5+ years of pharmaceutical experience, general knowledge, and appreciation of the overall function of a pharma company. Ability to perform in a high-pressure, fast-paced environment with multiple and shifting priorities. Strong organizational and planning skills; results-oriented with a sense of urgency. Project management experience with attention to detail. Ability to adapt communication across multiple levels within and outside the company. Demonstrates leadership and collaboration; capable of solving problems efficiently and effectively. Motivated troubleshooter who can balance multiple projects with minimal supervision. Excellent written and verbal communication skills. BA/BS degree in business, education, or related field, or high school diploma with equivalent work experience. Proficiency in English; ability to maintain good command of Spanish.
