Role Overview

The Operations Coordinator plays a central role in ensuring smooth execution and communication within a dedicated POD team that manages multiple eCommerce brands. This role is responsible for overseeing task flow, enforcing timelines, coordinating deliverables across departments (creative, advertising, catalog), and keeping the team aligned with brand goals and deadlines.

Working cross-functionally, the Operations Coordinator acts as the glue that holds the POD together, driving accountability, eliminating bottlenecks, and optimizing internal processes to improve execution speed and consistency.

Responsibilities
  • Task & Project Coordination: Manage and update the POD’s project management system (e.g., Monday.com)
  • Ensure all assigned tasks are clearly documented, prioritized, and completed on time
  • Track deliverables across catalog, advertising, creative, and brand functions
  • Lead internal task check-ins to assess progress, blockers, and next steps
  • Workflow Optimization: Identify workflow inefficiencies and recommend SOP improvements
  • Maintain visibility across POD bandwidth and help rebalance workload if needed
  • Partner with other Operations Coordinators to share best practices and ensure consistency
  • Meeting & Reporting Support: Prepare weekly internal POD sync agendas and support meeting facilitation
  • Assist with meeting recaps, action items, and follow-ups
  • Support the Strategic Brand Manager in tracking quarterly goals and reporting status
  • Team Communication & Accountability: Act as a central point of coordination across Brand Managers, Specialists, and Creative teams
  • Ensure dependencies between departments are flagged and handled proactively
  • Communicate task blockers, overdue deliverables, and priority shifts with clarity
Who You’ll Work With
  • Strategic Brand Manager – to align POD execution with brand strategy
  • Advertising, Creative, and Catalog Teams – to track progress and deadlines
  • Reporting & Compliance Specialists – to coordinate shared deliverables
  • Other Operations Coordinators – to maintain workflow standards across PODs
Qualifications & Skills
  • 2+ years of project coordination or operations experience (agency or eComm preferred)
  • Proficient in project management tools (e.g., Monday.com, Asana, Trello)
  • Highly organized with excellent follow-through and attention to detail
  • Strong communication and internal collaboration skills
  • Ability to manage multiple moving pieces and adjust to shifting priorities
  • Bonus: Familiarity with Amazon Seller Central or eCommerce execution environments

  • On-time completion rate of cross-functional deliverables
  • Clarity and quality of task documentation and project updates
  • Reduction in overdue or unassigned tasks within the POD
  • Internal team satisfaction and execution efficiency

  • Compensation in USD
