Overview The Assistant Dean of Finance and Administration will oversee office workflow with a high degree of independence and initiative. This role is responsible for the operating budget of the school and supports department chairs, unit directors, HR delegate, and principal investigators with budgetary matters and decisions. Develop financial procedures for the coordination and processing of financial and other departmental matters. Responsibilities Oversee office workflow and manage the operating budget for the school. Assist department chairs, unit directors, HR delegate, and principal investigators with budgetary matters and decisions. Develop financial procedures for orderly coordination and processing of financial and other departmental matters. Consult with units or departments to prepare operating budgets based on actual performance, prior figures, estimated revenue, and expenses. Compare expenditures with budget allocations; analyze budgets and advise management on approvals or disapprovals. Attend budget meetings and complete budget prep work at the beginning of the fiscal year. Develop budget targets with department heads and directors; assign proper cost center codes. Prepare requests for travel authorizations and monitor revenue and expense accounts. Research, compile, and update budgetary and forecast data for financial reports; resolve differences with accounting. Enter budget amendments; coordinate sponsored program administration and budget with centralized offices. Initiate contractor and consultant agreements for grants and department; manage departmental grants including Workday entries, requisitions, costing allocations, and grant payments. Work with the PI and RAS office to resolve grant monetary discrepancies; enter personnel and financial documents in Workday (hires, terms, period activity pays, cost allocations, effort certificates). Process graduate assistant paperwork, track expenditures and hires/terminations, and manage period activity pays for graduate assistants. Create positions, enter budgetary requirements for new positions, and request market data for pay disparity. Occasional job description creation and processing of departmental requisitions; monitor the budget for inconsistencies and ensure spending within limits. Prepare and process financial aid documents for the school’s admissions programs; prepare budget documents for signature by university officials; assist management in preparing meeting reports. Process cost and non-cost labor transfers and payroll-related paperwork. Process and approve Sodexo orders and perform related duties as required. Core Competencies Knowledge of budget management principles, policies, and procedures. Proficiency with spreadsheets, databases, word processing, and presentation software; strong numerical and analytical skills. Strong oral and written communication; ability to forecast budgets and interpret budget graphs. Ability to maintain accurate accounting records and protect confidential information. Attention to detail; ability to follow instructions and adapt to changing procedures. Ability to establish and maintain effective working relationships with staff, university officials, and the public. Minimum Requirements Bachelor’s degree in finance, business administration, accounting, or closely related field with 2–5 years of relevant experience. 5 years of related work experience may be substituted for educational qualifications.
