Position: Vistex Administrative Assistant, Human Resources

The Vistex Administrative Assistant, Human Resources is a positive, professional, reliable, flexible, and detail-oriented individual who will perform a range of duties supporting HR and administrative operations.

Responsibilities:
  1. Coordinate all Domestic and International travel arrangements including booking of flights, hotels, rental cars, etc.
  2. Handle all matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
  3. General office management.
  4. Screening phone calls.
  5. Calendar coordination.
  6. Managing expenses.
  7. Event planning.
  8. Administrative / Human Resources tasks.
  9. Managing research projects.
  10. Coordinate courier services (Notary office, Customers, post office, etc.).
  11. Maintain organized office archive (Contracts, Employees documents, Partners, Vendors, CVs, Payments, etc.).
  12. Assist and provide documentation to new suppliers and customers.
  13. Assist with the setup of meetings, scheduling of conference rooms, and other administrative tasks as needed.
  14. Update and maintain databases such as mailing lists, Vendors List, Staff list, contact lists, and Customer information.
  15. Purchase office supplies and materials such as cleaning products, groceries, etc.
  16. Check goods and orders to be sure they have been received.
  17. Office maintenance, calling for repairs, and maintaining equipment inventories (Air conditioner, Cleaning, plumber, Electrician, etc.).
  18. Interaction with suppliers and vendors (Giveaways, booth art decoration, graphics requests, etc.).
  19. Monitor training programs to ensure that training objectives are met.
  20. Provide holiday gifts to all customers.
  21. Maintain employee birthday/gift/anniversary list.
  22. Manage new hire swag.
  23. Manage cleaner company schedules and duties.
  24. HR and office monthly bills management and send to Accounts payable.
  25. Occupational Health obligations for all employees, including documentation such as PPRA, PCMSO, NR1.
  26. Management / Interaction with benefits Vendors (Health insurance, Life insurance, Dental insurance, Meal voucher, Grocery Voucher).
  27. Contributing to team effort by accomplishing related results as needed.
  28. Performing other duties as assigned.
  29. Preparation of new hire materials.
  30. Review and update admin / HR procedures to fit company needs.
