About the Role
We are seeking a highly organized and detail-oriented Project Coordinator to support our Utilities Division at Ottomatik.io.
The ideal candidate has strong communication skills, thrives in a fast-paced environment, and brings a proactive, problem-solving mindset to the table.
- Organize, manage, and track project submittals for the Utilities Division
- Coordinate and submit project documentation, ensuring accuracy and deadlines are met
- Monitor invoice due dates across multiple projects and compile required documentation
- Maintain digital filing systems and ensure proper documentation workflows
- Support project managers and teams with administrative duties as needed
- Help streamline internal processes to improve operational efficiency
Requirements
- Fully professional and fluent level of English
- Prior experience in an administrative or project coordination role, preferably in construction, engineering, architecture, property management, or landscaping
- High proficiency in Microsoft Office, especially Outlook and Excel
- Experience tracking project milestones and managing team or crew schedules
- Strong data entry and digital organization skills
- Excellent communication and time management abilities
- Ability to work independently and manage multiple tasks simultaneously
