We are seeking a highly organized and detail-oriented Project Coordinator to support our Utilities Division at Ottomatik.io.

The ideal candidate has strong communication skills, thrives in a fast-paced environment, and brings a proactive, problem-solving mindset to the table.

  • Organize, manage, and track project submittals for the Utilities Division
  • Coordinate and submit project documentation, ensuring accuracy and deadlines are met
  • Monitor invoice due dates across multiple projects and compile required documentation
  • Maintain digital filing systems and ensure proper documentation workflows
  • Support project managers and teams with administrative duties as needed
  • Help streamline internal processes to improve operational efficiency

Requirements

  • Fully professional and fluent level of English
  • Prior experience in an administrative or project coordination role, preferably in construction, engineering, architecture, property management, or landscaping
  • High proficiency in Microsoft Office, especially Outlook and Excel
  • Experience tracking project milestones and managing team or crew schedules
  • Strong data entry and digital organization skills
  • Excellent communication and time management abilities
  • Ability to work independently and manage multiple tasks simultaneously
