Job Overview: As a Business Operations Specialist , you will be responsible for ensuring the smooth operation of daily tasks and facilitating communication across teams and time zones. You will support key stakeholders by managing their priorities, schedules, and meeting flows. Key Responsibilities: Daily Planning & Management: Lead daily check-ins to align priorities and manage task lists in productivity tools. Prepare concise summaries of key items and ensure progress to completion. Calendar Coordination: Manage stakeholder schedules, logistics, and meeting flow through digital calendars. Coordinate client meetings, follow-ups, and travel arrangements with precision. Meeting Preparation & Research: Prepare briefs with relevant background information, profiles, and context. Conduct research to support business development or decision-making, and distill long content into actionable notes. Communication Support: Draft professional correspondence and manage inbox triage to ensure clear and timely responses. Operations & Documentation: Maintain compliance, permit, and project documentation organized. Support customer visits, event logistics, and file management across cloud storage platforms. Process Improvement: Identify ways to simplify, automate, or standardize recurring tasks and implement process improvements that strengthen daily operations.
