College Intern
The Office Admin intern is responsible for providing general office support in Brazil and Mexico with specific emphasis on the following areas:
Be the local point-of-contact (PoC) for our Global IT and Procurement team regarding local employees' IT devices, including:
- Local acquisition and delivery follow-up;
- Device preparation (if at Sao Paulo), including reformatting/reimaging when needed;
- Deployment of equipment to employees;
- Devices local stock control;
- Properly follow up on related JIRA tickets and take action when necessary.
Be the local PoC for our Global Facilities team regarding local office administration tasks.
Be in direct alignment with the internship coordinator, local leadership, the local Executive Assistant, and with HR.
Be the main interface with Claro (telco) regarding anything related to local employees’ phone lines and smartphone devices (Android and iOS).
Be the main interface with local notebook vendors (e.g., Dell, Apple) regarding notebook acquisition and requests for local support services.
Be the main interface with local co-working service providers (i.e., WeWork Sao Paulo, WeWork Mexico, Regus Brasilia).
Actively support local events organization and execution (i.e. team gatherings at the office and/or WeWork spaces).
Support with logistics planning regarding group visits to the local offices (i.e. non-local employee visits, customer/partner meetings).
Provide in-office hosting support when needed.
Collect correspondence and packages delivered at the Sao Paulo office (WeWork) and notify recipients.
Be physically present at the Sao Paulo office and available to the team at least twice a week (days to be aligned with the coordinator and Executive Assistant), remaining available remotely on the other work days.
Overall office supply and consumable items management, stock control and acquisition.
