Job Description:
The Document Controller will manage and maintain project documentation to ensure accuracy, accessibility, and compliance with organizational and industry standards. This role supports engineering and project management teams by organizing, tracking, and safeguarding technical and commercial documents across the project lifecycle.
Job Responsibilities:
- Establish and maintain document control systems (EDMS/DMS) for projects and operations.
- Classify, index, and file documents (electronic and hard copy) with accurate metadata/attributes.
- Monitor document workflows to ensure timely review, approval, and controlled distribution.
- Maintain strict version control; ensure only current documents are in circulation.
- Prepare and process transmittals; uphold document numbering procedures and naming conventions.
- Coordinate submissions with internal teams and external stakeholders
- Perform quality checks on deliverables (e.g., searchable PDFs, correct titles, revisions, attributes).
- Generate regular status reports, registers, and KPI dashboards for document compliance.
- Support audits and adhere to company QMS (ISO 9001)
- Drive continuous improvement—cleanup duplicates/irrelevant files, optimize indexing and retrieval.
Required Attributes :
- Associate or Bachelor’s degree in Business Administration, Engineering, or related field.
- 3–5 years of experience in document control/records management in Oil & Gas/Offshore Drilling/EPC/EPCm industries.
- Hands-on with EDMS/DMS platforms (ACONEX, Oracle UNIFIER, SharePoint Online, eRoom, Meridian).Experience with OpenText’ is preferred.
- Proficiency in MS Office (Excel, Word, Outlook) and collaboration tools (Teams).
- Familiarity with engineering documentation (e.g., P&IDs, PFLOW, vendor drawings, data books, specifications).
- Strong attention to detail, organization skills, and ability to meet tight deadlines.
