Job description

The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.


Responsibilities:

  • Manage and organize executive calendars efficiently, ensuring all appointments and commitments are accurately recorded and communicated.
  • Schedule and coordinate meetings, calls
  • Engage with LinkedIn and manage email communications as per directives from executives, maintaining professionalism and discretion.
  • Assist with various administrative tasks as needed, such as document preparation, data entry, and file management.
  • Run and manage HubSpot CRM, including updating contact information, tracking leads, and generating reports.
  • Plan and execute events, from initial concept to post-event follow-up, ensuring all details are coordinated effectively.
  • Support lead engagement efforts, collaborating with the sales and marketing teams to optimize outreach strategies.
  • Handle correspondence efficiently, including drafting and responding to emails and other forms of communication.


Qualifications

  • Minimum 1 year of prior experience as an Executive Assistant.
  • Bachelor's degree or higher education qualification.
  • Excellent command of the English language, both written and verbal.
  • Strong English writing skills with attention to detail and grammar.
  • Proficiency in Google Suite applications, including Gmail, Calendar, Docs, and Sheets.
  • Experience with CRM systems, preferably HubSpot, including data entry, reporting, and customization.
  • Familiarity with LinkedIn and proficient in leveraging its features for networking and engagement.
  • Competency in managing calendars, scheduling, and coordinating appointments.
  • Exceptional communication skills, with the ability to interact professionally with internal and external stakeholders.
  • Fast learner and tech-savvy individual, capable of adapting to new tools and technologies efficiently.
