We are looking for a highly organised and detail-oriented Finance and Contracts Assistant to support our international agency’s finance and operations team. The ideal candidate will be based in Brazil, and comfortable working with senior colleagues and clients around the world.

This is a part-time, hybrid contract position (approximately 2.5 days per week) and requires excellent English, strong attention to detail, and confidence handling cross-border financial and administrative processes.

Key responsibilities
Prepare and check monthly agency fee invoices in Xero, ensuring accuracy of payment terms and tax rates, and cross-referencing internal tracking documents.
Prepare and reconcile invoices for client costs, applying appropriate mark-ups as agreed in contracts.
Support the agency leadership team in the contract execution process for new clients, sharing standard terms, reviewing client versions and ensuring all documentation and financial details are properly stored.
Track contract renewal dates and coordinate timely extensions with account teams.
Update internal resource tracking documents based on clients’ approved scopes, ensuring accurate reflection of hours, budgets and deliverables.
Monitor incoming payments, maintain accurate records, keep management informed and follow up professionally and courtesly in English with clients regarding overdue invoices.
Work closely with the Managing Partner and leadership team to ensure financial accuracy and compliance with internal policies.

Requirements
Excellent written and spoken English (daily contact with senior international teams and clients).
Proven experience with invoicing, finance administration or contract management.
Strong attention to detail and ability to work independently.
Familiarity with Xero or similar accounting software is a plus.
Comfortable working with different currencies, tax regimes and international payment processes.
Experience working abroad or in an international environment is highly valued.
Based in Brazil – São Paulo or Rio de Janeiro would be ideal.
