Job Summary:
The Admissions Officer is integral to the admissions team, ensuring a seamless and positive experience for prospective students and their families. The role requires a highly organised, personable, and detail-oriented professional who can effectively communicate the school's ethos, values, and educational offerings.
Key Responsibilities:
1. Admissions Process:
Respond promptly and professionally to enquiries via telephone, email, WhatsApp, and in-person visits.
Maintain and update admissions databases and records accurately.
Screen calls for the Admissions Department and Head of Admissions.
2. Communication and Outreach:
Assist parents via calls, emails, or WhatsApp messages.
Assist the Head of Admissions in organising school tours, open days, and informational sessions for prospective families.
Assist the Head of Admissions in implementing strategic communication plans to attract prospective students.
Send invites for school events and any other general emails as requested by the Head of Admissions.
3. Document Management:
Standardise, organise, check for errors, and print (when necessary) all department documents, including prospectuses, parent handbooks, and yearbooks, following the Head of Admissions' guidelines.
Perform translations (English-Portuguese or/and Portuguese-English) of documents and meetings as requested.
Add, update, and correct family and pupil information on Salesforce and Schooly.
Prepare regular reports on admissions statistics, trends, and outcomes, when requested by the Head of Admissions.
Issue and present reports as requested by the Head of Admissions
6. Marketing Support:
Assist the Head of Admissions in the school's marketing campaigns.
Photograph and film events, classes, or any day occurrences as requested by the Head of Admissions.
Edit photos and films for the school's marketing purposes.
Keep the school website and social media account(s) updated in conjunction with the Head of Admissions.
7. Administrative Support:
Keep the Admissions Drive organised and updated.
Schedule admissions meetings and campus visits using Google Calendar or any other software that is being used at the moment by the department.
Confirm admissions meetings and receive parents upon arrival at the school.
Send out lists of required enrolment documents and verify their accuracy upon receipt.
Ensure the school's website and information comply with the Brazilian Data Protection Law ( Lei Geral de Proteção de Dados - LGPD ).
Support academic events when requested.
