Overall Purpose

The Crew Assistant will be responsible for the execution of the mobilization process of seafarers of particular nationalities. The role also coordinates with training centers and medical providers as necessary and contacts seafarers about the mobilization process.

Key Responsibilities
  • Ensure timely processing of visa and other joining crew formalities.
  • Verify pre-joining documents for completeness and authenticity as per requirements.
  • Coordinate pre-joining preparation of approved personnel: certifications, courses, tests, and medical examination appointments.
  • Maintain contact with personnel during leave and mobilization.
  • Manage training enrollments and keep records up to date in ShipSure Crewing, uploading documents as required.
  • Process flag state document applications and maintain control procedures.
  • Provide administrative assistance to other Crew Cell members.
  • Perform other tasks as required by the Crew Supply Manager for efficient office operation.
  • Key success measures: timely flagstate document and visa processing, timely training enrollments, timely data encoding/uploading in ShipSure, and positive stakeholder feedback.

Essential Qualifications
  • Excellent communication (oral and written) skills.
  • Awareness and understanding of cultural and diversity issues.
  • Good organizational and planning skills.
  • Ability to work to tight deadlines.
  • Vocational Diploma / Short Course Certificate, Bachelor's/College Degree from any field.
  • Good computer skills including word processing and spreadsheet experience.
  • Excellent interpersonal skills with the ability to engage with people at all levels.
  • Keen attention to detail.
Desirable
  • Minimum 1 year of relevant experience in a similar role, preferably in Subsea/Marine/Offshore Construction Industry.
