The purpose of the role is to provide customer service to employees and visitors alike whilst maintaining a security presence. Act as “the face” for the client ensuring that both MSS Security and the client is represented as professionally as possible at all times.

Personal Assistance:

- Providing administrative support to the Chief Financial Officer, including preparing PowerPoint presentations and Excel spreadsheets, Word documents, diary management and planning conferences
- Carrying out ad hoc projects and requests
- Monitoring and reporting on Finance and IT team monthly training requirements
- Assisting in Head Office expense management (e.g. verifying vendor invoices, coding, approval, etc.)
- Facilitating the approval process of Capex Requests
- Credit card reconciliation for Chief Financial Officer
- Organising inductions for new personnel for Head Office

Reception & Administration:

- Answering internal and external clients’ calls and queries and ensuring all enquiries are addressed immediately or referred to the correct person
- Managing the mail and courier services in and out of Head Office
- Assisting with the maintenance of information databases and hard copy filing
- Overseeing the facilities management of Head Office including monthly safety inspections and reporting
- Ordering all general supplies for Level 2, Silverwater facilities
- National business card ordering
- In-office event coordination
- Coordinating and compiling Head Office newsletter
- Updating CM3 with annual compliance requirements
- Booking travel for various Head Office Managers and staff
- Assisting other departments with ad-hoc requirements
- Reconciling credit card expenses for National Credit & Invoicing Manager, Chief Commercial Officer and National Finance & Shared services Manager
- Preparing expense reports for various Head Office Managers
- Fulfilling the role of the First Aid Officer

Fleet Administration:

- Daily administration
- Facilitating contract signing between MSS Security and financing company (NAB)
- Online Vehicle Ordering
- Monthly Reporting
- Liaising with external fleet managers

Workplace Giving Program Duties:

- Liaising with selected charities
- Liaising with State Ambassadors
- Coordinating quarterly events at state office and Head Offices
- Organising quarterly committee meetings
- Providing updated figures to Marketing team - monthly
- Coordinating and compiling Workplace Giving Newsletter
- Assisting with the development and implementation of the Marketing Plan
