- As a member of the division, reporting to the Commercial Director, you'll provide comprehensive administrative support to two Executive Directors. You will with managing agendas, organizing travel, and coordinating both internal and external events to guarantee a positive experience for all participants. This is the role for you if you are detail-oriented, have excellent communication skills, and demonstrate the ability to handle multiple tasks efficiently.- This is a Hybrid position with 4 days at the office with 1 at home.**In this exciting role, you will work with...**
- **Administrative Support**
- Provide administrative assistance to two Executive Directors, including managing calendars, scheduling meetings, and business travel.
- Prepare and edit documents, reports, and presentations.
- Handle confidential information with care.
- **Agenda and Travel Management**
- Manage complex schedules for the Executive Directors, ensuring proper prioritization of appointments.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Handle travel-related expenses and reimbursements.
- **Event Coordination**
- Lead and help organize internal events, including meetings, workshops, and team-building activities.
- Coordinate external events with customers, ensuring all logistics are handled to guarantee an enriching experience.
- Manage visitor arrangements, including scheduling, hospitality, and logístical support.
- Support the Commercial Team with customer events delivering a Superior Customer Experience.
- **Communication**
- Be an point of contact between the Executive Directors and internal/external team members and partners.
- Facilitate communication and follow-up on action items to ensure completion.
- Develop strong working relationships with team members and clients.
- **Office Management**
- Oversee office supplies and equipment purchase, ensuring a well-organized and efficient working environment.
- Support the commercial team with various administrative tasks as needed.
- Assist with special projects and other duties as assigned.

**You?**
- Have a Bachelor's degree or equivalent experience in business administration or related field;
- 3 to 5 years of experience working in an Executive Assistant, Administrative Assistant role or similar position;
- Advanced level of English is required, both written and spoken, this will be tested during the process.
- Experience in event planning and coordination.
- Knowledge of SAP system is preferred but not disqualificatory.
- Familiarity with travel booking and itinerary management.
