**Administrative Associate**
We are searching for an experienced Administrative Associate in Antananarivo, Madagascar.
**Position Description**:
**Administrative & Operational Functions**:
- ** **Serve visitors by greeting, greeting, and directing them appropriately.
- Manage clerical tasks, such as filing files, contributing to the finalization of reports and presentations, organizing meetings, and procuring supplies.
- Provide real-time scheduling assistance by arranging appointments and avoiding calendar conflicts.
- Facilitate communication between technical staff and the various partners and collaborators.
- Work with the Contracts and Administrative Manager to organize meetings effectively: support in developing agendas and identifying locations, equipment, and materials (data projectors, flip charts, notebooks, meals/snacks, reports, etc.).
- Organize and coordinate travel and logistics for technical staff and visitors.
- Maintain the asset inventory of all project-related purchases and, as appropriate, liaise with PROPEL Health and the DC office regarding equipment disposal.
- Assist the Administrative and Contracts Manager with managing all stock and commodities of the project, including forecasting and requisitions to always guarantee optimal stock levels.
- Manage petty cash in accordance with Palladium's rules and regulations.
- Maintain professional communication with staff and ensure daily timesheets are filled in.
- Contribute to the proper preparation and follow-up of quarterly and monthly meetings of USAID partners: ensure that they are well planned, precise agenda, a well-established list of participants, identified meeting room, etc.
- Assist with photocopying and duplication services.
- Keep offices, kitchens, hallways, restrooms, conference rooms, and office environments always clean.
- May be required to stock kitchen and boardroom supplies as needed.
- Any other administrative and operations duties assigned by the Administrative and Contracts Manager.
**Required Qualifications**:
- Degree in the field of Secretarial Studies, Management of Organizations, or equivalent
- At least 3 years of experience in administrative management
- Experience with public health programs (either at the public level with the Ministry of Health or civil society public health projects).
- Familiarity with technical and financial partners, e.g. USAID, UNICEF, World Bank, Global Fund, etc.
- Excellent computer skills and attention to detail and quality
- Desire to be proactive and create a positive experience for others
- English proficiency preferred
