Accounts Receivable Associate Role Summary


About the Role

The Accounts Receivable Associate is responsible for supporting the Accounts Receivable department by managing payment collection, account reconciliation, and customer support activities. This role focuses on proactively collecting outstanding receivables while ensuring accurate handling, validation, and maintenance of sales tax exemption documentation in compliance with state and local regulations.


Key Responsibilities
  • Monitor customer accounts for late or irregular payments to prevent delinquencies and ensure timely resolution of issues.
  • Communicate effectively with customers through various channels to collect outstanding balances and resolve payment discrepancies in a professional and courteous manner.
  • Collaborate with internal departments and branches to address customer concerns and provide timely responses to inquiries.

Sales Tax Exemption Management
  • Collect, review, and validate customer sales tax exemption certificates to ensure compliance with regulatory requirements.
  • Maintain organized and up-to-date exemption documentation per state and local tax laws to facilitate efficient processing and minimize errors.
  • Audit exemption certificates regularly to ensure accuracy, completeness, and correct categorization.

General Accounts Receivable Support
  • Reconcile customer accounts and perform account research as needed to identify and resolve discrepancies.
  • Assist with month-end and year-end closing activities to ensure accurate financial reporting and compliance with regulatory requirements.

Required Skills and Qualifications
  • High school diploma or equivalent required; Associate's degree in a related field preferred.
  • 2+ years of experience in accounts receivable, with emphasis on collections and/or tax documentation preferred.
  • Strong attention to detail and accuracy to ensure data integrity and compliance with regulatory requirements.
  • Excellent communication and customer service skills to effectively interact with customers and internal stakeholders.
