Job Title: Americas Operations Specialist

About the Role

This role is a key component of our daily business operations, supporting the efficient management of processes across the Americas. The successful candidate will be responsible for ensuring that all administrative and facility needs are met, while also maintaining accurate documentation and reporting.

Key Responsibilities:
  • Office Operations: Coordinate daily administrative tasks, including organizing materials and managing vendor services across LATAM offices.
  • Documentation Management: Archive and maintain both physical and digital documents via Google Drive, ensuring accuracy and compliance with shared document management.
  • Reporting and Analysis: Create reports, forms, spreadsheets, and slide decks as required, and maintain trackers for asset management, budgets, and office-related tasks.
  • Cross-Regional Collaboration: Communicate regularly with Brazil, Peru, Colombia, and USA-based teams, sharing updates, progress, and blockers with regional leads and country managers.
Requirements:
  • Bilingualism: Fluency in both Spanish and English (written and spoken).
  • Attention to Detail: Ensure accuracy in payments, documentation, and reporting.
  • Ownership and Accountability: Take ownership of responsibilities independently and reliably.
  • Process-Oriented: Comfortable working with Standard Operating Procedures (SOPs) and contributing to workflow improvements.
  • Effective Communication: Share updates, task progress, and handovers clearly with stakeholders.
  • Proactivity: Anticipate potential blockers and resolve issues promptly.
  • Creative Problem-Solving: Offer innovative solutions and adapt quickly to operational challenges.
  • Advanced Excel and PowerPoint Skills: Build dashboards, trackers, and executive-level presentations with a clear visual structure.
