Role Overview
We are in search of a dedicated Talent Acquisition Specialist to join our outstanding Talent Acquisition team. This hybrid role will encompass both coordination and scheduling tasks, along with a strong emphasis on analytical skills and process enhancement. Your role will be pivotal in streamlining our recruitment efforts while improving process efficiencies and data management. Your input will significantly impact the candidate experience and contribute to the overall success of our global talent acquisition initiatives.
Key Responsibilities
Coordination & Scheduling (25-50% of the role):
- Collaborate with Recruiters and Hiring Managers to effectively organize and manage interview logistics across the organization.
- Schedule candidate interviews and debriefs for various roles, adeptly navigating complex calendars to ensure a smooth interview process.
- Provide logistical support throughout the recruitment journey, including office tours, agenda preparation, and managing last-minute adjustments.
- Act as the primary point of contact for candidates and interviewers, ensuring clear communication and a positive experience from application through onboarding.
Analytical & Process Improvement (50-75% of the role):
- Evaluate recruiting metrics by creating reports and deriving insights to enhance recruitment strategies and processes.
- Oversee the global referral program, monitoring performance and suggesting improvements based on analytical insights.
- Assist in the implementation and integration of recruitment tools, ensuring they align with organizational objectives.
- Participate in vendor meetings to stay updated on product enhancements and effectively communicate these to the team.
- Utilize expertise in our applicant tracking system (ATS) to optimize organizational settings and streamline processes for improved team efficiency.
- Identify and rectify missing or incorrect data fields in our systems to maintain data integrity.
- Manage candidate experience surveys, analyze feedback, and creatively propose enhancements to improve the candidate journey.
- Apply systems thinking to understand the interconnections between various recruiting tools and recommend process improvements.
- Assist with team documentation and onboarding of new recruiters, ensuring they are prepared to contribute effectively.
- Maintain accurate spreadsheets to support the coordination and analytical needs of the team.
Qualifications
- Minimum of 2 years of experience in talent acquisition, recruitment coordination, or relevant administrative roles with a strong analytical focus.
- Demonstrated ability to manage complex schedules while balancing multiple priorities.
- Familiarity with hiring metrics and experience in generating reports and dashboards using tools like Looker, PowerBI, or Tableau.
- Proficient in advanced Google Sheets and/or Excel; capable of efficiently manipulating data.
- Detail-oriented with a strong focus on maintaining accurate documentation and handling confidential information.
- Excellent problem-solving skills with the ability to think creatively to identify process improvement opportunities.
- Exceptional communication skills, capable of engaging with candidates and stakeholders at all levels.
- Resourceful and adaptable, with a positive attitude and a solution-oriented approach.
- Strong systems thinking mindset to leverage technology effectively and streamline operational processes.
Preferred Qualifications
- Experience with an applicant tracking system (e.g., Greenhouse) or scheduling software (e.g., ModernLoop).
- Familiarity with tools such as LinkedIn Recruiter, Gem, Ashby, and Zoom.
- Experience in Talent Acquisition Coordination and/or Operations within a global technology-focused company.
