Job Overview
We seek a skilled and strategic Support Professional to provide exceptional administrative assistance to senior leadership.
This role encompasses calendar management, project coordination, and stakeholder engagement. The ideal candidate excels in fast-paced environments, adapts quickly to shifting priorities, and demonstrates strong organizational skills.
- Manage complex calendars—coordinate internal and external meetings, events, and commitments.
- Anticipate scheduling conflicts and proactively suggest solutions.
- Prepare senior leaders for meetings with agendas, briefing materials, research, and follow-up tracking.
- Assist in project management and track deadlines to ensure timely completion of tasks.
Key Responsibilities:
Administrative Support & Prioritization:
- Track deadlines and deliverables across multiple projects, ensuring follow-through and accountability.
- Support operational initiatives including event planning, philanthropic programs, strategic partnerships, and internal communications.
- Assist with creating and updating project trackers, dashboards, and meeting notes, ensuring accurate documentation and timely distribution.
Communication & Document Management:
- Draft, edit, and format high-quality documents, reports, presentations, and communications using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaboration tools.
- Conduct targeted research to support decision-making, strategic planning, and event preparation.
Event & Meeting Coordination:
- Coordinate logistics for high-profile meetings, internal events, and external engagements—including location booking, catering, AV, travel, and guest communications.
- Manage follow-up actions from meetings and ensure all stakeholders are aligned.
Requirements:
- Proven experience as an executive assistant or in a similar role.
- Excellent verbal and written communication skills; able to craft professional correspondence and create polished presentations.
- Strong proficiency in Microsoft Word; experience with other Microsoft Office applications is a plus.
- Excellent organizational skills with a keen attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Self-motivated and capable of working independently with minimal supervision.
Desirable Qualifications:
- Experience with project management tools.
