The Assistant Administrative Professional plays a vital part in Field Operations as the primary point of contact for personnel and liaison between customers and internal business groups. This role entails being proactive, efficient, and detail-oriented to ensure seamless communication and coordination among teams.
Key Responsibilities- Familiarize with Field Service Dispatching methods, processes, and practices to provide exceptional support.
- Perform tasks such as:
- Monitoring technician status via mobile resource management tools to optimize workflows.
- Reviewing slots and schedules to identify unfilled time windows, overbooking, cancellations, and other issues.
- Managing work schedules, arrival, and completion times to meet evolving client needs.
- Assigning or reassigning work to address changing requirements.
- Ensuring technician routes are operationally efficient and aligned with company and client expectations.
- Overseeing daily vacancy filling on scheduled routes to minimize downtime.
- Responding to internal and external customers regarding commitments, rescheduling, and missing bookings.
- Preparing and/or updating calendars based on assignments and reassignments.
- Providing job-related training, including initial training, updates, product/service knowledge, client updates, and cross-training.
- Literate in new or updated reference materials and announcements related to technical schedules, outages, promotions, scheduling changes, specials, policies, and other business operations to stay informed.
- High school diploma completed.
- Experience in customer relationship management is mandatory.
- Basic Microsoft Office skills to effectively manage documents and communications.
- Strong communication and interpersonal relation skills to build trust and rapport with colleagues and clients.
- Easy access to Contagem/MG to facilitate on-site work and collaboration.
