Job Overview:

We are seeking a skilled Sourcing Specialist to join our team.

Key Responsibilities:

  • Prepare and coordinate the sourcing of assign packages of equipment and/or services from RFQ to PO close-out.

  • Align with package managers and engineers for all required specifics for the scope.

  • Obtain supplier interest to bid and signed non-disclosure agreements ahead of RFQ.

  • Compile all documents associated with the scope of source prior to RFQ.

  • Issue RFQs to project bidder lists and be prepared to request bidders to be qualified prior to award.

  • Expedite suppliers for timely submission of quality bids within due bid dates.

  • Verify bid completeness and/or ability to disqualify incomplete bids; disburse technical bids to designated package engineers for review.

  • Organize and conduct bid clarification meetings (when required) with suppliers, separate technical vs commercial sessions where applicable.

  • Negotiate winning contracts per project requirements; engage legal and contract managers to support terms and conditions when necessary.

  • Prepare commercial bid evaluations of bids per scope; gather technical bid evaluations and prepare recommendations for award to present to PMTs for acceptance.

  • Formalize purchase requisitions through procurement tools; expedite internal approvers for timely PO issuances.

  • Issue and expedite supplier PO acknowledgements, bank guarantees, and any commercial milestone-related documentation within agreed timelines.

  • Manage timely approved change order (PO revision) requests from package managers.

  • Anticipate potential claims (e.g.: change orders, OS&D, liquidated damages, etc.) until PO close-outs.

  • Monitor and expedite timely supplier invoice approvals to align with agreed contractual milestone payment schedules.

  • Strong analytical and problem-solving skills.

  • Excellent organizational and time management skills.

  • Ability to work in a fast-paced environment and prioritize tasks accordingly.

  • Proficiency in MS Office and procurement software.
