Job Summary:

The Financial Operations Specialist will be responsible for managing day-to-day finance activities, including month-end closing, SOX auditing, and year-end closing. This role requires a thorough understanding of accounting standards and the ability to ensure compliance.

Key Responsibilities:

  1. Accounts Payable Management: Take ownership of the A/P function, including invoice processing, reconciliation, and payment.
  2. Invoice Monitoring: Monitor and process A/P email inbox.
  3. Three-Way Matching: Perform three-way matching of invoices, up to 100 plus line items, and process non-PO invoices.
  4. Invoice Review: Review all invoices for appropriate documentation and approval prior to payment.
  5. Audit and Payment: Audit invoices against purchase orders, research/reconcile discrepancies, and process payment runs.
  6. Credit Card Payments: Audit and process credit card payments in G/L and reconcile vs PO activity.
  7. Weekly Check Runs: Prepare and process weekly check runs.
  8. Vendor Remittance: Provide remittance to vendors.
  9. Outstanding Checks: Verify the accuracy of outstanding checks.
  10. Vendor Inquiries: Respond to vendor inquiries, reconcile vendor statements, research, and correct discrepancies.

Audit and SOX Compliance:

  1. Process Documentation: Ensure process documentation remains up to date.
  2. SOX and Internal Control Testing: Perform assigned Sarbanes Oxley (SOX) and internal control testing.

General Ledger, Accounting, and Other Support:

  1. AP Subledgers: Ensure AP subledgers tie out to the GL.
  2. Received Goods Report: Ensure that the "Received goods not invoiced" report is reconciled each month.
  3. Cash Receipts: Post all cash receipts to customer accounts.
  4. Cash Activity: Record all cash activity.
  5. Month-End Closing: Take ownership of assigned month-end closing processes, including acct reconciliations, journal entries, and reporting.

Audit Travel and Credit Card Expense Reports:

Intercompany/Shared Service Expenses:

Capital Expenditures:

  • Appropriation Requests: Ensure completeness and accuracy of appropriation requests.
  • Back-up Documentation: Ensure back-up documentation is available and approvals are in line with DLA.
  • Fixed Asset Register: Maintain fixed asset register in local ERP and FAS Sage system.
  • Depreciation: Record monthly depreciation and reconcile fixed assets accounts.

Cross-Training and Assistance:

Requirements and Experience:

  1. Associate Degree in Accounting: Associate degree in accounting required.
  2. Accounts Payable Experience: 3+ years' experience in accounts payable and general administrative duties within a corporate/manufacturing environment.
  3. Organizational and Communication Skills: Exceptional organizational and communication skills.
  4. Accounting Functions: Thorough understanding of day-to-day accounting functions.
  5. Business Practices: Strong understanding of general business practices and procedures.
  6. Multitasking: Proven ability to multi-task in a rapidly changing environment.
  7. Judgment and Prioritization: Ability to make judgments such as resetting priorities is essential.
  8. Deadlines and Attitude: Ability to meet deadlines and maintain a positive attitude.
  9. MS Office Suite: Needs to be proficient in MS Office Suite.
  10. Manufacturing Experience: Prior experience in a manufacturing environment preferred.
