**DEPUTY CLERK JOB DESCRIPTION**
**Overview**:
To support all administration in relation to the Council’s services and activities and to assist the Clerk to the Council in the execution of all Council business to meet the Parish Council’s statutory requirements. This will include attending meetings, minute taking, maintaining records, supporting the Parish Clerk with day-to-day management of the Council and ensuring that all legal requirements are complied with.
Attendance at evening meetings is required (usually one or two a month). To deputise for the Parish Clerk during their absence.
**Specific Responsibilities**
- To assist with administrative duties relating to the Council’s day-to-day operations, including compiling monthly invoices for authorisation, accurate recording of transactions and preparation of quarterly VAT returns.
- Assist the Parish Clerk/RFO with annual budgeting and ongoing monitoring of the same.
- Assist Parish Clerk/RFO with year-end procedures including producing final accounts and internal / eternal audit procedures.
- Timely production of monthly bank reconciliations and producing reports as required by the Clerk and/or Councillors.
- In the absence of the Parish Clerk, to be the senior officer of the Council.
- To assist the Parish Clerk in ensuring that accurate agendas and reports are available for all meetings of the Council, its committees and Working Groups.
- As directed by the Parish Clerk, to prepare and publish, in consultation with appropriate members of the council, agendas for meetings of the council and Committees and the Annual Meeting in accordance with all statutory requirements and prepare minutes for approval.
- To liaise and sometimes meet with a small number of contractors to ensure correct services are provided. Eg. grass cutting contractor, play equipment maintenance contractor, tree service providers.
- Maintain record keeping with period archiving and destruction of out-of-date paperwork.
- To attend meetings of the Council and relevant committee meetings as required.
- Take part in any suitable training as identified by the Parish Clerk.
- Any other duties which from time to time may be allocated by the Parish Clerk.

**Salary**: SCP 18 - 24 Depending on experience (£15.84per hour, £12,388 p.a, pro rata)
**Hours of Work**: 15 hours per week with overtime if and when necessary.
Flexibility may be required over days of the week worked and for occasional evening and weekend working.
**Holiday Entitlement**: You will be entitled to 25 days (pro-rata) annual holiday plus statutory bank holidays
**Sick Pay**: You will be entitled to statutory sick pay.

**The post holder will support the Clerk of the council in carrying out the day-to-day management of council business which includes servicing meetings and dealing with enquiries.**
**The successful applicant will be expected to take responsibility and deputise for the Clerk during periods of absence.**
**The ideal applicant will have extensive administrative experience, strong IT skills, knowledge of local government, experience of managing contractors and be enthusiastic about working with residents and local organisations.**
**Training and support are available and an enthusiastic and person orientated approach to the role is vital.**
