The Role
**About the role**
BMT Canada is looking for an Office Assistant to join our growing team in Victoria. This role supports the BMT Canada team and clients in achieving their targets through the following activities:
Facilities Support
- Maintaining and updating files and records.
- Receiving and distributing incoming mail and preparing outgoing mail.
- Monitoring office equipment like printers, photocopiers ensuring they are fully stocked and functional.
- Providing support in delivering local initiatives organized by the Social Committee.
- Organizing travel for individuals or teams to client sites, conferences, and trade shows.
- Working with regional teams to support procurement activities related to local offices and project needs.
In addition, this role will provide support directly to the Business Services Coordinator as needed including:
- Assisting the Business Support Coordinator with tasks regarding set up and organizing of laptop computers.
- Providing regional support to the Business Support Coordinator with organizing, setting up and assisting with local catering.
- Working with Business Support Coordinator with monitoring and maintaining office inventory including stationary, and kitchen supplies and organizing vendor visits such as cleaning staff, and shredding services.
- Ensuring boardrooms are prepped for meetings and kitchen is neat and tidy each day.
Support to BMT Canada Management. The incumbent is required to provide general administrative support to the VP Capability and VP Programmes as required including oversight of:
- Onboarding activities for new employees.
- Assisting to co-ordinate meetings and events, managing calendars.
- Acting as the gatekeeper for internal processes such as recruitment, software, and standards.
- Conducting research and creating reports on various topics as needed.
Deliver billable project support. The incumbent will be required to support the delivery of projects by:
- Assisting with document control, contracts administration and general project support.
- Photocopying and collating documents for distribution, mailing and filing.
- Classifying, coding, cross-referencing, logging, and storing records.
**About you**
We are looking for enthusiastic and flexible team members, who possess the following knowledge, experience, and skills:
Essential:
- Office support experience.
- High level of expertise with MS Word and MS Outlook.
- Ability to multi-task and manage priorities.
- Ability to recognize problems or limitations and ask for guidance.
- Attention to detail.
- Organization and record keeping skills.
- Ability to obtain a Canadian Government Security Clearance.
Desirable:
- Familiarity Adobe Acrobat, MS Excel, MS PowerPoint, MS Teams.
- Business support familiarity.
- Understanding of business processes and workflows.
- Understanding of health and safety systems.
- Project management support familiarity.
