Support office/administrative activities. Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival and maintains telecommunications system.
**Responsibilities**:
- Front Line Reception_
- Provide a courteous and professional reception service, including answering phone calls promptly, welcoming all visitors, clients, and employees.
- Taking (telephone) messages for Control Risks São Paulo staff that are unavailable and ensuring that the messages reach the intended persons.
- Makes visitors feel welcome and present an excellent initial impression of the company.
- Processing of Mail and Couriers/ phone lists/ conference room
- Distribute incoming courier packages.
- Prepare paperwork for outgoing courier packages and manage shipping and receiving activities.
- Ensure printers/copiers and phones are in proper working order, assisting with preparation for new employees.
- Maintain a neat and clean office environment; ensuring conference rooms are ready for meetings.
- Maintain and update office phone list and distribute this information to all employees.
- Coordinate the Meetings room’s agenda.
- Takes full ownership of tasks and makes things happen.
- Support to the Office Manager in orders for supplies_
- Under clear and specific guidance from the Senior Office & Facilities Manager, providing quotation, purchasing by internet through quotation, and assist in coordination of office services such as housekeeping, purchasing office supplies, ordering catering when needed and maintaining office equipment (computers, printers, scanner, telephone system) etc...
- Administrative Support_
- Support and assist the Senior Office & Facilities Manager in all administrative functions.
- Including keeping CRM entries up to date related to Senior Partner, directors, and associate directors.
**Requirements**:
- English and Portuguese (fluent), spoken.
- Telephone Skills, Verbal Communication, Microsoft Office Skills, Listening, Professionalism, Organization, Supply Management.
- Friendly and Enthusiastic.
- Good telephone manner.
- Conscientious and committed.
- People person
- Good command of Portuguese and English, both spoken as well as written.
- Computer literacy required (all MS Office Programs).
