Position Summary

We are seeking a highly organized and detail-oriented Order Management Specialist to support the full quote-to-cash process, from quote validation and contract review to order processing, invoicing, and software delivery coordination. This entry-level role is essential to ensuring accurate deal execution and a seamless customer experience by collaborating cross-functionally across Sales, Finance, Legal, and Delivery teams. The ideal candidate will have strong attention to detail, a customer-first mindset, and a desire to build foundational experience in sales operations, order management, and software fulfillment.

Key Responsibilities

Quote & Deal Support

  • Assist Sales in creating and updating quotes in alignment with pricing, discounting, and contract policies.
  • Review sales contracts and order documentation for completeness, accuracy, and required approvals.
  • Validate configurations, SKUs, and pricing to ensure compliance with internal policies.
  • Maintain accurate opportunity and quote records in Salesforce and support deal structuring as needed.

Order Management & Processing

  • Process sales orders, subscriptions, and maintenance renewals in NetSuite, ensuring timely and accurate data entry.
  • Validate all required documents, including purchase orders, signed agreements, billing terms, and tax details.
  • Generate invoices based on contract terms and trigger billing activities in coordination with Finance.
  • Monitor order queues, proactively resolve order holds or exceptions, and escalate issues when needed.
  • Support proper revenue recognition by ensuring that orders meet accounting and audit standards.
  • Understand the impact of order terms on billing schedules, renewal cycles, and revenue timing.

Software Delivery Support

  • Coordinate with internal teams to schedule license provisioning and service activation.
  • Track software delivery status and support onboarding tasks to ensure successful implementation handoffs.
  • Maintain records of license and entitlement delivery, and help resolve delivery-related issues.

Policy Compliance & Audit Support

  • Enforce internal compliance policies related to pricing, contract terms, and discount approvals.
  • Manage exception processes and ensure all necessary approvals are documented.
  • Maintain accurate and complete order records to support audit and SOX compliance requirements.

Process Optimization & Cross-Functional Collaboration

  • Identify and propose improvements in quote-to-order and order-to-cash workflows.
  • Assist in the creation and maintenance of order management SOPs, training guides, and process documentation.
  • Collaborate with Sales Ops, Legal, Finance, and Delivery teams to streamline operations and improve service levels.

Qualifications

  • Bachelor's degree or equivalent experience in Business, Finance, Operations, or a related field.
  • Strong attention to detail with excellent communication and organizational skills.
  • Experience or familiarity with Salesforce and NetSuite is strongly preferred.
  • Basic understanding of sales operations, order processing, software delivery, and/or revenue recognition concepts is a plus.
  • Proficient with Microsoft Excel, Word, and other standard business tools.
