Record Collection Specialist

Department: Collections

Job Type: Full Time Contractor

About the role: The Record Collection Specialist is responsible for initiating, tracking, and completing the medical record retrieval process. This role requires strong communication skills, excellent organization, and the ability to work efficiently with provider offices, agencies, and internal teams.

Responsibilities and Duties:

  • Submit medical record requests to provider offices using approved protocols and systems.
  • Track all outgoing requests and follow up regularly to ensure timely receipt of records.
  • Document all communication and case updates accurately within the company portal.
  • Communicate professionally with provider offices, agencies, and internal departments regarding record status or clarifications needed.
  • Maintain expected productivity, including handling multiple cases at various stages during each shift.
  • Identify and escalate urgent or delayed cases to the appropriate team lead or manager.
  • Uphold HIPAA standards and confidentiality at all times.

Required Skills & Qualifications:

  • Strong computer proficiency and comfort working across multiple platforms.
  • Experience as a Medical Assistant, Medical Records Clerk, or similar role preferred.
  • Familiarity with OB/GYN, Labor & Delivery, or IVF medical documentation (preferred but not required).
  • Excellent communication and follow-up skills, especially with provider offices.
  • Highly organized, detail-oriented, and capable of managing multiple ongoing tasks.
  • Ability to work independently and meet established turnaround times.
  • Strong problem-solving skills and ability to navigate varying provider workflows.

Preferred Qualifications:

  • Knowledge of provider terminology, request requirements, and release regulations.
  • Experience with HIPAA compliance and handling PHI

Job Types: Full-time, Contract

Pay: R$ R$55.00 per hour

Expected hours: 40 per week
