Our Rio De Janeiro Office is currently seeking a highly motivated and experienced Coordination Supervisor to join our dynamic team.
Key Responsibilities and Duties (include but are not limited to):
Coordination:
• Handling client requests for the provision of quality assurance (QA), quality control (QC), engineering, project support, site, and office-based personnel.
• Sourcing candidates to match client requirements and, where applicable, preparing candidates for interviews by providing project/commodity-related information.
• Liaising with clients on the proposal, interview, selection, and placement of candidates.
• Issuing successful candidates with information pertaining to their obligations, responsibilities, and deliverables for the duration of the assignment.
• Liaising with assigned Fulkrum candidates in matters relating to:
o Fulkrum contractual terms and conditions.
o Allocation of task-related documents (ITP, drawings, specifications, client-issued templates, etc.).
o Receiving, screening, and submitting site reports to clients.
o Handling client complaints.
o End of assignment feedback.
• Advising candidates where reports/performance/timekeeping, etc., are not adhered to.
• Providing candidate performance updates upon request to the Coordination Manager/ Regional Manager.
• Managing Fulkrum/candidate relations by means of 'care calls' during candidate assignments.
• Being commercially aware when negotiating placements with candidates and clients.
• Identifying and driving new business opportunities with existing and potential clients.
• Ensuring that all client SLA's (Service Level Agreements) are adhered to, and Fulkrum KPI's are met.
• Lead regular meetings with the Coordination, Coordination Assistance Team and Accounts to better understand possible opportunities and weaknesses of the processes.
• Keep constant communication with the Operations Manager to avoid bottlenecks.
Operational Excellence:
• Monitor the team's IRIS dashboard daily and assist them with timely actions on all actionable items.
• Supporting the Coordination Manager/ Regional Manager to track and report KPI's of the assigned Coordination and Coordination Assistance Team.
• Ensuring that the assigned Coordination and Coordination Assistance Team successfully adheres to all IRIS compliance metrics and KPIs.
• Support the team in processing all new client requests and report submissions in line with defined KPI parameters, and promptly inform the Coordination Manager, Operations Manager and Regional Manager of any deviations to ensure timely resolution. Overseeing the assigned Coordination and Coordination Assistance Team's invoicing activities, ensuring that account inquiries and errors are reviewed promptly by the team, and implementing any corrective actions from senior management.
• Ensure all visits are ready for invoicing by the monthly deadline by supporting the team with timely timesheet submissions and facilitating the approval process. Offering support and improvement ideas for IRIS implementation, coordination procedures/work instructions, and general office and company efficiencies. Ensuring that all quality metrics are met each month, including enquiry success rate and proposal Turnaround Time.
• Supporting the Quality Manager with IRIS process improvements and internal audits of the coordination team.
• Ensuring the assigned Coordination and Coordination Assistance Team supports accounts with debt collection and PO pending. When issues are escalated past the coordinators, supporting Accounts with debt collection and PO pending requirements.
Line Management:
• Overseeing the daily activities and providing guidance to the assigned Coordination and Coordination Assistance Team to deliver exceptional customer service and internal efficiency.
• Providing guidance and mentorship to the assigned Coordination and Coordination Assistance team, fostering a supportive and growth-oriented environment.
• Monitoring the performance of administrators and apprentices, providing regular feedback and support to help them achieve their professional goals. Conducting formal performance reviews as per the Company policy (e.g., end-of-year reviews, probation reviews).
• Addressing and resolving any conflicts or issues within the team promptly and effectively, maintaining a positive and productive work environment; this is with the support and management of the Coordination Manager/ Regional Manager.
• With the support of HR and the Coordination Manager/ Regional Manager, monitoring the assigned Coordination and Coordination Assistance team's capabilities through the use of KPIs and ensuring improvements through training, shadowing, and courses if required.
• Participating in the interviewing process of any new Coordination and Coordination Assistance candidates.
• Supporting Senior Management with CSR, inclusivity, and team-building initiatives. Reporting any team retention concerns to HR and the Coordination Manager/ Regional Manager.
Skills and Qualifications:
• Extensive knowledge of both onshore and offshore Oil and Gas industry projects.
• Full working knowledge of MS Office programs.
• Proven ability to manage and develop client relationships effectively.
• Demonstrated ability to react positively and efficiently in high-pressure situations.
• Ability to lead a team, set standards, and provide guidance and mentorship.
• Proven ability to take on extra responsibilities in the absence of senior management.
• Experience in providing guidance and mentoring to team members, supporting their continuous development.
HSE Awareness:
All personnel are made aware of Fulkrum's Health and Safety policy and procedures during the Onboarding process.
