Company Overview Full Spectrum Search Group is a US national healthcare recruiting firm that focuses on post-acute and senior care leadership, including skilled nursing, senior living, home health, and hospice.We are hiring a Recruiting Operations Manager to work directly with the CEO.This person will take ideas, conversations, and action items and turn them into completed projects.The right candidate will be the operational backbone of the recruiting process, ensuring accuracy, follow-through, and consistent momentum.If you are organized, resourceful, and skilled at turning plans into results, this role is for you.About the CEO and the RoleMax McNamara is the CEO of Full Spectrum Search Group.With over 13 years of search experience and a degree in Technological Entrepreneurship and Management, Max combines hands-on recruiting expertise with a strong focus on systems, process, and performance.He has also served as a coach and workflow automation consultant for one of the largest recruiting firm networks in the world, helping build smarter infrastructure and scalable operations across multiple search organizations.Max is a visionary who thrives on ideas, relationships, and growth.He's looking for an Integrator who can bring structure, accountability, and follow-through.This role is both strategic and tactical.You'll be a true operational partner and someone who keeps the recruiting engine running smoothly, ensures every opportunity moves from conversation to completion, and turns ideas into measurable results.Recruiting Operations and Workflow ManagementAttend client, candidate, and internal meetings and own the post-meeting follow-through by ensuring every conversation leads to completed next stepsManage all recruiting activity in Crelate (CRM) including job orders, candidate pipelines, and client updates.Keep data clean, organized, syndicated, and current across LinkedIn RPS, Crelate, and lead spreadsheets.Ensure all searches are actively moving forward and nothing sits idle.Create weekly progress summaries and present during weekly team meetingsProcess Improvement & AutomationStrong emphasis on workflow automation and continually looking for relevant and savvy ways to make things more efficient, eliminate bottle necks, etc.Proactively look for areas to improve process and workflows and suggest editsBecome the subject matter on industry tools and technologies that can lead to better results over time.Team Coordination and CommunicationCollaborate with internal team members to keep projects on track and deadlines met.Draft clear, professional recap messages after client and candidate calls.Coordinate and manage the CEO's calendar for efficiency and balance.Follow up with recruiters and support staff to make sure deliverables are completed and priorities stay aligned.Research, Marketing, and DeliverablesResearch operators, facilities, and leadership teams using internal templates and data sources.Maintain and update tracking lists for sourcing, outreach, and facility-level research.Format and proofread MPC write-ups, job descriptions, and client submissions using company templates and tone.Support marketing activities including LinkedIn posts and client-facing materials to ensure brand consistency.What You'll BringExcellent written and spoken English suitable for professional U.S. business communication.Understanding of American business culture and communication style.Experience working with US-based companies in operations and/or account/project management support.Strong technology background.Experience using AI to increase efficiency and automation.Strong organization and time management skills with the ability to handle multiple projects.Proficiency with CRM's, LinkedIn, Google Sheets, and ChatGPT or similar tools.A proactive mindset with the ability to anticipate needs and take ownership.A professional home office setup suitable for professional video calls with executives.Reliable high-speed internet and consistent availability during U.S. business hours with Central Time schedule.Ideal BackgroundThree to five years of experience in operations or project management roles.Longevity on your resume with the ability to articulate your success in similar roles.Experience supporting executives or business owners in fast-paced environments.Background in healthcare or executive recruiting is preferred but not required.Compensation and LogisticsCompetitive monthly salary paid in USD and based on experience.Full-time remote position.Central Time Schedule.Performance-based growth opportunities available.
