Role OverviewThe Immigration Assistant plays a key role in providing administrative support to the immigration team, focusing on document preparation, appointment scheduling, and communication with various stakeholders.This position is well-suited for individuals beginning their career in immigration services, offering the opportunity to gain hands-on experience in global mobility processes while building a strong foundation in administrative and client support.**Responsibilities**:**20% Document Preparation and Requests**:- Complete forms and request the necessary documents to ensure the smooth progression of immigration processes.- Ensure all documentation is accurate and compliant with relevant guidelines**20% Appointment Scheduling**:- Schedule appointments with responsible agencies for the issuance of expatriate documents.- Maintain an organized calendar of appointments and follow up as needed.**10% Report Extraction and Monitoring**:- Generate reports to track the issuance, renewal, and expiration dates of documents.- Provide timely updates to the immigration team regarding document status.**15% Coordination of Document Procedures**:- Oversee the delivery and collection of documents at dispatch offices, consulates, and other relevant locations.- Manage the flow of document shipments, both inbound and outbound, ensuring timely and secure transfers.**20% Fee Management**:- Coordinate with the finance department to handle fee payments related to immigration services.- Ensure that all payments are accurately processed and recorded.**10% Translation Services**:- Request and track translation services required for visa processes.- Ensure that translated documents are integrated correctly into the immigration files.**5% Consular Office Tasks**:- Occasionally visit consular offices and public agencies to carry out specific tasks.- Represent the company professionally during interactions with government authorities.**Qualifications**:**Education & Certification**:- Currently pursuing a university degree in a related field (e.g., International Relations, Law, Business Administration).- Advanced or fluent English is mandatory; proficiency in Spanish is considered an advantage.**Technical Skills**:- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).- Ability to quickly learn and adapt to internal case management software.**Communication Skills**:- Strong verbal and written communication skills in English.- Good interpersonal skills to facilitate smooth interactions with clients, colleagues, and external partners.**Soft Skills**:- Highly organized with excellent attention to detail.- Capable of handling multiple tasks simultaneously in a fast-paced environment.- Proactive, with a problem-solving mindset and a commitment to delivering high-quality service.
