We are seeking a Virtual Assistant (VA) to support our sales team by managing daily tasks in our CRM (Customer Relationship Management) system and ensuring accurate lead tracking and reporting.
This role is ideal for someone who is detail-oriented, reliable, and comfortable working in a fast-paced, remote environment.You will help keep our sales process organized by maintaining clean data in our CRM (HubSpot), ensuring leads are assigned correctly, supporting team communication, and updating key reports and trackers.Key Responsibilities:Lead & CRM ManagementEnter and update new lead information in the CRM systemAssign leads to the appropriate team members based on defined criteriaMerge and clean duplicate contact recordsReassign leads that are not being followed up onEnsure all lead records are complete and accurateSales Reporting & TrackingRecord daily sales activity metrics (calls, conversations, appointments set)Maintain and update performance dashboards and spreadsheetsTrack the movement of leads through different stages of the sales processSend daily summaries and updates to team leadsData Quality & AuditingPerform routine checks of CRM data to ensure accuracyIdentify and correct missing or inconsistent lead dataSupport monthly data audits to ensure clean reportingTeam Communication & SupportMonitor team channels (primarily Slack) and assist with lead-related requestsSupport appointment setters and sales reps with lead follow-upsKeep internal communication logs and trackers up to date and organizedLead Follow-Up SupportLaunch follow-up sequences for older leads who haven't respondedMonitor high-priority leads and ensure they are being engagedWhat do you bring?
