Reuters is seeking a bilingual (Portuguese and Spanish) Operations Assistant to join its Latin America team in São Paulo, Brazil. This position will be responsible for managing the day-to-day operations of the office including maintenance services, office administration, contract management, equipment maintenance, etc. The successful candidate must have strong communication and organizational skills as well as the ability to work independently and take initiative on projects.

About the Role

Manages office and location services. Supporting the operation in Sao Paulo, Rio de Janeiro & Brasilia with travel for major events, accreditations, visa applications and more. Ensures the correct functioning of facilities, office and business support services. Maintain office inventory, stocks of office supplies, offices services among other materials up to date. Creating purchase orders in the system and managing the process until the services are provided. Maintains relationships with suppliers and other external agencies. Supporting local management with maintaining files and administration of contracts. Processing of invoices in coordination with Thomson Reuters’ finance and accounting teams. Onboarding of new staff onto corporate systems, coordination with IT departments. May have budget responsibilities.

About You

Bachelor's degree in business administration, project management, or a related field preferred. Proven experience working as an administrator or in a similar role. Strong organizational skills, attention to detail, and problem-solving abilities. Excellent communication skills, both written and verbal, in Portuguese and Spanish. Proficiency in Microsoft Office Suite applications, particularly Excel, Word, and PowerPoint. Knowledge of office management software and tools as SAP would be a plus. Ability to multitask and prioritize tasks effectively in a fast-paced environment. Self-starter with a proactive approach to work and a willingness to take ownership of challenges. Flexibility to work outside normal office hours when required. Able to work collaboratively within a team and build positive relationships across different departments.
