Job Overview The role of Academic Operations Manager involves overseeing the faculty appointment, promotion, and tenure process at a leading academic institution. Maintains an up-to-date database of faculty members, including their name, academic rank, type of appointment, term of appointment, and demographic data. Develops and manages the annual calendar for submissions and evaluations of applications for promotions and tenure, ensuring compliance with the Faculty Handbook. Manages the workflow of recommendations on behalf of candidates for promotion and tenure, which includes follow-up with schools and colleges to ensure complete recommendation packages are submitted timely. Ensures accurate recording of new academic ranks and salary adjustments in collaboration with deans' offices and University liaisons. Works closely with the Senior Technology Officer and Human Resources to verify correct faculty salaries and addresses for Institutional Base Salary letters. Resolves issues related to delivery, academic rank, salary, stipend, etc. with faculty members and/or respective dean's offices. Manages executive-level approvals of specific WorkDay transactions on behalf of the Office of the Provost. Monitors the approval inbox and approves straightforward recommendations. Investigates problematic recommendations and confers with the Associate Provost as needed. Follows up with relevant units in the workflow from initiation through HR approval. Provides periodic updates to the Associate Provost on the status of approvals. Manages Watermark + Faculty Success and associated systems, serving as the System Administrator and leading training activities. Assists in managing the affairs of the Associate Provost, including preparing confidential correspondence and providing staff support for ad-hoc university committees. Supports the work of the Office of the Provost by assisting in preparing for monthly faculty forums and receptions. Collaborates with the Associate Vice President for Academic Finance and Provost's Chief Technology Officer to prepare data for reports regarding faculty headcounts, full-time or part-time status, and salaries to external agencies.
