Assist sales representatives by coordinating all project details from inquiry to proposal development Prepare quotes, proposals, supporting documents, and client communications for seamless execution Review project scopes to ensure clarity, accuracy, and completeness, ensuring all stakeholders are aligned This role ensures sales opportunities flow smoothly into well-coordinated projects—managing communication, documentation, scheduling, and follow-ups while supporting both clients and internal teams. This is a 100% remote position, requiring discipline, ownership, and strong communication skills to drive success. Key Responsibilities 1. Sales Support & Opportunity Management Track sales pipeline activities and follow-ups through CRM systems for real-time visibility 2. Project Coordination & Scheduling Develop project timelines, schedules, and task lists to ensure timely completion and stakeholder satisfaction Coordinate with operations, technicians, vendors, and subcontractors to meet project deliverables 3. Communication & Client Coordination Provide clear updates to clients regarding project status, schedules, and next steps to maintain transparency and trust Translate technical details into simple, understandable information to facilitate informed decision-making 4. Documentation & Organisation Organise and maintain all project files, documentation, and communication history for easy access and reference 5. Financial & Administrative Support Assist with budgeting, cost estimates, procurement, and tracking expenses to ensure financial integrity 6. Risk Management & Problem Solving Flag risks early and recommend solutions before issues impact the project to mitigate potential losses 7. Leadership & Ownership Take initiative and make decisions independently when needed to drive project forward and achieve goals Must-Have Experience & Qualifications 2+ years of experience in project coordination, sales coordination, or operations support roles Experience in security, construction, low-voltage, service, or technical project environments, with a proven track record of delivering results
