We have an exciting opportunity for a Sales Project Coordinator to join our team. This is a full-time, 100% remote position that offers a stable weekday schedule. As a Sales Project Coordinator, you will be responsible for ensuring sales opportunities flow smoothly into well-coordinated projects, managing communication, documentation, scheduling, and follow-ups while supporting both clients and internal teams. Key Responsibilities: Sales Support & Opportunity Management Assist sales representatives by coordinating all project details from inquiry to proposal preparation. Prepare quotes, proposals, supporting documents, and client communications as needed. Review project scopes to ensure clarity, accuracy, and completeness of information. Track sales pipeline activities and follow-ups through CRM systems. Project Coordination & Scheduling Develop project timelines, schedules, and task lists to ensure timely completion. Coordinate with operations, technicians, vendors, and subcontractors to meet project requirements. Monitor project progress and proactively resolve delays or issues that may impact the project. Ensure materials, equipment, and resources are prepared on time and according to plan. Communication & Client Coordination Provide clear updates to clients regarding project status, schedules, and next steps in the process. Translate technical details into simple, understandable information for clients and stakeholders. Maintain positive client relationships and support repeat business through exceptional service and communication. Act as the communication link between sales, operations, vendors, and clients to ensure seamless project execution. Documentation & Organisation Organise and maintain all project files, documentation, and communication history in a secure and accessible manner. Prepare change orders, reports, close-out packages, and audit-ready records as required. Ensure all documents meet the company's quality and compliance standards before submission. Financial & Administrative Support Assist with budgeting, cost estimates, procurement, and tracking expenses to ensure accurate financial reporting. Review vendor pricing, purchase orders, and order confirmations to ensure alignment with project requirements. Support sales in controlling project profitability and margins through effective financial management. Risk Management & Problem Solving Identify inconsistencies in scopes, drawings, or client requirements that may impact project delivery. Flag risks early and recommend solutions to mitigate potential issues that may affect the project. Resolve conflicts or misalignment between teams or contractors to ensure smooth project execution. Leadership & Ownership Take initiative and make decisions independently when needed to drive project success. Keep team members accountable for deadlines and deliverables to ensure project milestones are met. Maintain a high-standard workflow with strong attention to detail to deliver exceptional results. ]]>
