Job Overview
In this role, you will be responsible for providing high-level administrative support to the Leadership team. You'll manage complex schedules, facilitate cross-departmental communication, and handle confidential information while ensuring operational excellence. As a key liaison between the Leadership and all departments, you'll help coordinate timelines, track deliverables, and maintain aligned communication to support our commitment to educational excellence.
Key Responsibilities
- Provide comprehensive administrative support to the Leadership, including managing calendars, communications, and serving as a liaison between Leadership and all departments
- Coordinate timelines, track key dates and deliverables, and ensure appropriate follow-ups across multiple projects and initiatives
- Manage correspondence, prioritize messages, and draft responses while maintaining confidentiality
- Organize and coordinate meetings and events (both in-person and virtual) with high attention to detail
- Prepare and enhance reports, presentations, and documents with exceptional quality standards
- Maintain organized records and leverage AI tools and technology platforms to optimize workflow efficiency
Qualifications
- Proven experience as an Executive Assistant or similar role, preferably in bilingual or international school settings
- Fluent in English (spoken and written) with excellent interpersonal and communication skills
- Strong organizational and multitasking abilities with exceptional attention to detail
- Tech-savvy, with proficiency in Microsoft Office, presentation tools (e.g., PowerPoint, Canva), AI like ChatGPT, and task and project management tools like Notion, Trello
- Comfortable working independently and managing multiple tasks and deadlines across departments
- Trustworthy and professional when handling confidential information with ability to interact effectively with executives and stakeholders
