Primary Responsibilities
  • Provide overall administrative management for the Legal department, ensuring organized workflows and smooth daily operations.
  • Track contractual deadlines and renewal dates, guaranteeing timely action and risk mitigation.
  • Control vendor payments, verifying accuracy and compliance with internal policies.
  • Distribute tasks to team members, balancing workloads and maximizing productivity.
  • Monitor and approve departmental expenses, keeping costs within budget.
  • Directly manage liability insurance policies and employee benefits programs, ensuring adequate coverage and adherence to regulations.
Key Skills And Experience For This Role
  • Prior experience supporting a legal team or a department is highly preferred.
  • Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Experience with contract management systems is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Proactivity/Ownership: Anticipates needs, suggests process improvements, and drives tasks to completion with minimal supervision.
  • Communication/Stakeholder Management – Interacts with all levels, from C-suite executives to fellow assistants; communicates clearly in English and Portuguese; negotiates and follows up with external vendors.
  • Organizational Excellence – Manages multiple priorities, maintains records, and keeps a well-structured filing system.
  • Confidentiality: handles sensitive legal and financial information with discretion and integrity.
  • Team Collaboration: Builds rapport across departments and supports collective goals in a fast-paced environment.
