Role Overview We’re looking for a highly organized, operations-minded Executive Assistant to support our leadership team. This is not your traditional EA role—it blends high-level administrative support with hands-on involvement in business operations, retail activations, and special projects. Calendar & Workflow Management Own and optimize the executive calendar, coordinating across multiple time zones and stakeholders. Schedule and prep for meetings with internal teams, external partners, and vendors. Anticipate scheduling conflicts and proactively resolve issues before they arise. 2. Operational Project Coordination Support operational initiatives including product rollouts, event logistics, and cross-functional workflows. Track deliverables, update project timelines, and ensure deadlines are met. Collaborate across departments to align resources and unblock tasks. 3. Travel & Event Logistics Coordinate all aspects of executive travel (booking, budgeting, itineraries). Assist with logistics for brand events, pop-ups, and physical activations—remotely managing vendors, venues, and timelines. 4. Communication & Correspondence Serve as the gatekeeper and liaison for executive communication. Draft professional emails, memos, meeting notes, and internal updates. Maintain confidentiality and clear, responsive follow-through. 5. Reporting & Admin Help create and maintain dashboards, reporting on KPIs, budgets, and project performance. Handle expense reports, vendor coordination, and light bookkeeping tasks. Assist with operational documentation, SOPs, and internal process updates. Qualifications Required 4+ years experience supporting executive leadership in a high-growth environment (fashion, retail, CPG, or startup experience ideal). Excellent organizational, communication, and multitasking skills. Comfortable working independently and cross-functionally in a remote environment. Proven ability to manage high-volume scheduling, shifting priorities, and sensitive communications. Must be available to work during core PST hours. Preferred Experience in event planning, retail operations, or brand activations. Familiarity with tools like G-Suite, Slack, Notion, Asana, and expense management platforms.
