Executive Assistant to CEO / VP of Ops We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO and VP of Operations in managing daily priorities, communications, and coordination across the company. This person will serve as the primary gatekeeper and right hand, managing the executives' time, inboxes, and correspondence to ensure focus on strategic and operational priorities. The ideal candidate has strong construction industry experience, excellent communication and judgment, and thrives in a fast-paced, dynamic environment where no two days are the same. Key Responsibilities Email and Communication Management Manage and prioritize high-volume inboxes, responding or flagging as needed. Serve as the main point of contact for incoming communication. Draft, proofread, and send professional correspondence on behalf of leadership. Maintain confidentiality and handle sensitive information with discretion. Calendar and Meeting Coordination Manage executive calendars and schedule meetings strategically. Prepare materials and agendas and track meeting follow-ups. Protect leadership time by prioritizing key meetings and commitments. Operational and Project Support Track project updates, deadlines, and deliverables for leadership. Assist with reviewing and organizing construction documents such as RFIs, change orders, and submittals. Coordinate communication between field and office teams. Administrative Support Organize digital and physical files and manage travel and expenses. Identify opportunities to streamline communication and workflow. Represent leadership professionally in all interactions. Qualifications Minimum 3–5 years of experience supporting a senior leader, preferably in the construction industry (commercial, residential, or specialty trades). Associate or Bachelor's degree in Business Administration, Construction Management, or related field preferred. Proficiency with Google Workspace (Sheets, Doc, Gmail, Slides) and familiarity with construction management software (Procore, Buildertrend, etc.). Strong attention to detail, proactive problem-solving, excellent communication, and organizational abilities. Professional, reliable, adaptable, and capable of maintaining confidentiality and composure under pressure. Compensation & Benefits This position pays $7–$15 per hour, depending on experience. We also offer paid time off and paid holidays as part of our benefits package.
