We are seeking a highly organized and detail-oriented Operations Assistant to join our Latin America team in São Paulo, Brazil. As a key member of our team, you will be responsible for managing the day-to-day operations of the office, including maintenance services, office administration, contract management, equipment maintenance, and more.
Key Responsibilities- Manage office and location services, ensuring seamless operations and high levels of customer satisfaction.
- Support the operation in São Paulo, Rio de Janeiro, and Brasilia, including travel for major events, accreditations, visa applications, and more.
- Ensure the correct functioning of facilities, office, and business support services, maintaining a high level of efficiency and productivity.
- Maintain office inventory, stocks of office supplies, and other materials up to date, ensuring a well-stocked and organized workspace.
- Create purchase orders in the system and manage the process until services are provided, ensuring timely and cost-effective delivery.
- Maintain relationships with suppliers and other external agencies, fostering strong partnerships and ensuring seamless communication.
- Support local management with maintaining files and administration of contracts, ensuring compliance and accuracy.
- Process invoices in coordination with Thomson Reuters' finance and accounting teams, ensuring timely and accurate payment.
- Onboard new staff onto corporate systems, coordinating with IT departments to ensure a smooth transition.
- May have budget responsibilities, requiring strong financial management and analytical skills.
We are looking for a highly skilled and experienced Operations Assistant with a strong background in administration, project management, or a related field. The ideal candidate will possess:
- Bachelor's degree in business administration, project management, or a related field.
- Proven experience working as an administrator or in a similar role, with a strong track record of success.
- Strong organizational skills, attention to detail, and problem-solving abilities, with the ability to multitask and prioritize tasks effectively.
- Excellent communication skills, both written and verbal, in Portuguese and Spanish, with the ability to communicate complex information in a clear and concise manner.
- Proficiency in Microsoft Office Suite applications, particularly Excel, Word, and PowerPoint, with knowledge of office management software and tools as SAP.
- Ability to work collaboratively within a team and build positive relationships across different departments, with a strong customer service focus.
- Flexibility to work outside normal office hours when required, with a willingness to adapt to changing priorities and deadlines.
