Job Title: Administrative Assistant

Sibelco is a global material solutions company with a presence in 31 countries. We are seeking an experienced Administrative Assistant to provide support to our global leaders, stakeholders, and teams.

Key Responsibilities:
  • Provide administrative support to senior leaders and teams, including coordinating schedules, arranging appointments, and establishing agendas.
  • Coordinate business travel for managers, directors, and other division heads.
  • Screen phone calls and incoming mail, and coordinate department meetings.
  • Serve as a contact for employees, investors, and other stakeholders inside and outside the organization.
  • Document and follow up on organization and department procedures to complete tasks in a timely manner.
  • Use computer software packages to produce electronic mail, reports, spreadsheets, charts, graphics, and databases.
  • Perform support services in the areas of human resources, administration, finance, and logistics, dealing with suppliers, clients, and employees.
  • Ensure the proper functioning of building facilities, including registering employees and third parties in facilities systems or Workday.
  • Manage restaurant, security, and cleaning companies, as well as transport and charter administration.
  • Support the onboarding and offboarding of employees, generating restaurant and transport files, and sending them to the BST team.
  • Control entrances from the concierge during the day and participate in the development of methods or techniques that contribute to continuous improvement.
  • Drive a company car when necessary for external activities and contribute to the 5S Program.
Requirements:
  • University degree in Business Administration, Economics, or Accounting.
  • 3 years of experience in the payroll area.
  • Portuguese language proficiency, with English as a plus.
  • Skills in teamwork, time management, integrity, respect, working under pressure, proactivity, analysis, communication, independence, and technical knowledge of MS Office, especially Excel spreadsheets.
