Job Title: Executive Operations Manager

About the Role:

We are seeking a highly skilled Executive Operations Manager to join our team at Self Carreiras. As a key member of our organization, you will be responsible for overseeing the daily business operations of two companies in Europe and Brazil, ensuring all business activities are aligned with our objectives.

Key Responsibilities:

* Oversee the daily business operations across two companies in Europe and Brazil, ensuring all business activities are aligned with our objectives.
* Manage project timelines and ensure key deliverables are met by coordinating with internal teams, contractors, suppliers, and external stakeholders.
* Establish and maintain operational processes that improve efficiency and support business growth.
* Serve as the primary point of contact for all internal teams and external stakeholders, ensuring smooth communication and task follow-up.
* Manage relationships with key partners, suppliers, and service providers, ensuring that tasks are completed within set timelines without the need for our direct involvement.
* Proactively track and manage ongoing projects, keeping our entrepreneur updated on progress and addressing any bottlenecks.
* Manage all incoming business communications, including emails and messages, prioritizing critical issues and delegating responses where appropriate.
* Draft business correspondence, reports, and presentations as needed.
* Set up systems to streamline business communications and reduce unnecessary distractions for our entrepreneur.
* Help our entrepreneur stay focused on long-term business goals by prioritizing tasks and minimizing distractions from day-to-day operations.
* Ensure that our entrepreneur's time is spent on high-impact, strategic activities by proactively managing the operational aspects of the business.
* Create and manage systems to track progress on key business goals, projects, and initiatives.
* Oversee the work of the Personal Assistant responsible for managing our entrepreneur's personal and household tasks, ensuring that all personal responsibilities are handled efficiently.
* Act as the point of escalation for any personal tasks that require additional support or decision-making.
* Ensure seamless coordination between business and personal tasks, so our entrepreneur's time is optimized.

Requirements:

* Senior experience as an Executive, Operations Manager, or in a similar role, with a strong focus on business operations and team management.
* Proven track record of supporting entrepreneurs or business leaders in managing day-to-day business functions and achieving long-term goals.
* Experience working with international or remote teams, including managing communications and coordinating projects across time zones.
* Strong communication skills (written and verbal), with experience in drafting business correspondence and reports.
* Exceptional organizational and project management skills, with the ability to oversee multiple workstreams.
* Proficiency in using productivity tools (email management, project management software, etc.) to manage business operations efficiently.
* Advanced problem-solving skills, with the ability to take initiative and make decisions under pressure.
