PROJECT MANAGEMENT SPECIALIST

POSITION OVERVIEW

In this role, you will be tasked with delivering exceptional customer support to our premium clientele, primarily in English.

This position encompasses the entire post-sale journey, including overseeing local logistics and supervising the installation of high-end luxury products.

You will serve as the primary liaison with clients throughout the post-sales phase, ensuring a high standard of service.

Maintain up-to-date records and worksheets.

Coordinate the logistics and installation processes for the organization.

KEY RESPONSIBILITIES

International Logistics Management:

  • Oversee the international shipping of products.
  • Confirm factory orders weekly to ensure accurate order fulfillment.
  • Manage the arrival of shipments in Miami by maintaining the Container program in Excel.
  • Request and negotiate shipping costs with service providers.
  • Keep clients informed about their order status, providing exceptional service.

Site Inspection Coordination:

  • Engage with clients to assess job site conditions and establish inspection schedules.
  • Organize Project Coordinator visits to ensure job sites are ready for installation.
  • Handle inspection reports and collaborate with Project Coordinators to confirm readiness for installation.
  • Address troubleshooting and solutions with Project Coordinators to prepare job sites.

Local Delivery Management:

  • Maintain information regarding warehouse facilities.
  • Schedule deliveries with a White Glove Delivery Company, including timing and conditions.
  • Provide necessary insurance documentation.
  • Arrange delivery appointments for installers.
  • Confirm delivery details with clients.

Installation Coordination:

  • Prioritize and manage installation schedules with installers and Project Coordinators.
  • Follow up daily with Project Coordinators regarding ongoing work.
  • Ensure WTI & WTC reports are filed and obtain Project Coordinator feedback.
  • Organize final walkthroughs with installers and clients on the last installation day.
  • Ensure that the results of the walkthrough are communicated to the General Contractor and/or client.
  • Verify that the Tecnica Form is completed accurately and addresses all reported issues.
  • Monitor Tecnica status to meet client deadlines.
  • Coordinate local solutions as necessary.

Department Oversight:

  • Keep Excel sheets updated daily (Container Programming and Tecnica Control).
  • Ensure process flow is maintained.
  • Confirm adherence to procedures by all team members.
  • Analyze the Ornare Care Dashboard.
  • Allocate Tecnica errors by department, identifying causes and responsible employees.
  • Manage the Ornare Care budget using DRE reports.
  • Prepare and oversee payroll and commissions for installers and supervisors.
  • Update the Monthly End Ornare Care report.

SKILLS, EXPERIENCE, AND QUALIFICATIONS

  • Bachelor's degree in Architecture, Engineering, or Project Management.
  • A minimum of 5 years in Project Management or at least 2 years as an Architect or Engineer.
  • Strong logical thinking and planning abilities.
  • Capability to coordinate tasks, timelines, and schedules effectively.
  • Ability to build trust with clients through persuasion and empathy.
  • Proficient in report writing and correspondence.
  • Basic math skills for calculating dimensions, weights, and modules.
  • Proficient in MS Office (Word, Excel, Outlook).

Fluency in English and Spanish is required; Portuguese is a plus.

Experience Requirements:

  • Customer Service: 2 years (Required)
  • Supply Chain Management: 2 years (Preferred)
  • Experience in Construction, Architecture, or Interior Design: 2 years (Required)
