The Medical Document Retrieval Specialist plays a pivotal role in the healthcare medical records retrieval process, ensuring all requests are complete and accurate. This position is ideal for detail-oriented professionals who thrive in fast-paced environments.

About the Job:

This Medical Document Retrieval Specialist will be responsible for researching relevant healthcare providers associated with clients' treatment plans, creating accurate request forms, and conducting quality assurance checks.

Responsibilities:
  • Provider Research & Identification
    • Determine relevant healthcare providers beyond the main facility listed by the client.
    • Locate billing providers and related entities using tools such as Chartswap and prior request history.
    • Input all identified providers into the application.
  • Request Creation & Quality Control
    • Review and correct incoming Release of Information (ROI) forms, which are often incomplete or incorrect.
    • Create accurate base forms before assembling final submission packets.
    • Conduct thorough quality assurance checks for each ROI packet, ensuring accuracy and completeness.
  • Request Assignment
    • Assign requests to team members based on workload and utilization metrics.
  • Handling Special Cases
    • Identify and escalate provider-specific requirements to the Client Success Manager.
    • Resolve missing or conflicting information by liaising directly with the law firm's case manager.
Requirements:
  • Experience: Prior experience requesting health records from providers on behalf of healthcare companies, law firms, or related organizations.
  • Attention to Detail: Extreme accuracy is essential; errors can cause significant delays.
  • Technical Skills: Proficiency in Adobe Acrobat and PDF editing/combining tools.
  • Communication: Strong verbal and written communication skills with a proactive problem-solving mindset.
