This role focuses on leading translations projects, managing stakeholder expectations, and overseeing client relationships. As a key member of our team, you will be responsible for managing timelines, handling project deliverables, and ensuring quality and process efficiency.
Key Responsibilities- Manage the overall translation development process, communicate issues to internal teams for proper resolution, and ensure quality internal and external deliverables.
- Project Ownership: Manage tasks related to translations work for assigned studies, handle both internal and external clients, copyright holders, and vendors.
- Client Facing Meetings and Emails: Manage client-facing meetings and emails, communicate directly with clients, CROs, and vendors regarding timelines, study requirements, and scope changes.
- Support Project Manager and Relationship Managers: Provide direct support regarding translations timelines, complexities, author/copyright holder management, methodology requirements, and EC/IRB submission support.
- Setup Projects with Translations Providers: Set up projects directly with translations providers, handoff English-US software files and screenshots, along with source files, to request costs and timeline estimates for work reflective of the study scope.
- Risk Mitigation Planning and Escalation Prevention: Provide seasoned experience for own projects and direct reports for risk mitigation planning and escalation prevention.
- Linguistic Validation and EC Submission Strategies: Provide SME advice to clients on linguistic validation and EC submission strategies.
- Technical Issues Troubleshooting: Manage and troubleshoot technical issues related to translations build, testing, and release with internal Clario teams.
- Vendor Training: Manage vendor training on technical files used to create software translations.
- New Team Member Training and Onboarding: Assist with new team member training and onboarding, provide SME mentors, facilitate training based on subject/need.
- Responsible for onboarding & training of new hires, managing onboarding and assimilations activities, assessing effectiveness at 90 days post hire and developing a plan for key areas of focus.
- Support Sales Teams and Review Proposals: Assist sales teams and reviews proposals as requested for translations, linguistic validation, and licensing procurement projects.
- Bid Defenses and Consultative Services: Participate in bid defenses and consultative services with customers.
- Customer Support and Vendor Management: Coach the team in providing superior customer support, manage vendors closely, oversee project deliveries with accountability, and keep up with industry standards for translations methodologies.
- Strategic Alliances and Operational Efficiencies: Develop strategic alliances, preferred vendor relationships, and operational efficiencies with select copyright holders.
- Translation Vendor Management: Manage project deliverables and timelines on a per-project basis, facilitate monthly check-ins, quarterly KPI conversations, CAPA review, project check-ins, personnel checks, and process improvement.
- Continuous Improvement Initiatives: Responsible for implementing continuous improvement initiatives, cost follow-ups, process, document templates, etc.
- Influencing Strategic Decision Making: Influence strategic decision making and execution in support of strategic initiatives.
- Quality and Process Efficiency: Develop and lead execution for continuous improvement initiatives geared toward improving translation quality, process efficiency, harmonization across products, and cost reduction through scalable tools and process enhancements.
- Regulatory Compliance: Ensure practices and procedures meet regulatory compliance standards for Good Clinical Practices.
- Global Communication Standards: Exemplify and lead the department's global communication standards with internal resources.
- Translations Procedures and Training: Manage and oversee the development of translations procedures as well as training rollout.
- Client and Vendor Audits: Provide and participate in client and vendor audits as departmental SME.
- Client-Facing Meetings: Facilitate client-facing meetings, manage overall client communication regarding CSTL cycle aspects, support EC/IRB submission requirements, direct client on linguistic validation efforts, educate client on copyright holder requirements, and help manage and reduce client escalations.
- Complex Client-Escalations: Serve as the first point of contact to resolve complex process-oriented client-escalations.
- Translations Expertise and Program/Account Support: Provide translations expertise and program/account level support for key customers in creating and supporting new procedural rollouts, training, education on the Clario translations lifecycle, general translations knowledge, process improvement initiatives, advising on best practices, escalation support, and process harmonization efforts.
- Financial/Issue Management: Identify and solve financial/issue management at the process level.
- CAPA Investigation: Assist in completion and investigation of CAPAs, both internal and external.
- Operational Readiness Planning: Participate in operational readiness planning and related task ownership.
- Study Assignment Activities: Responsible for study assignment activities.
- SME for Service Lines: SME for all service lines supported by the Translations Department.
- Leadership and Team-Building: Supports leadership and team-building activities.
- Customer Service and NPIs: Develop strategies to promote customer service and initiate process development for NPIs.
- Assign Translations and Instrument Support Teams: Manages assigned translations and instrument support teams (LP) for quality and timely delivery of project deliverables.
- Best Practices Development, Training Compliance, and Capacity Management: Responsible and accountable for the development of best practices, training compliance, and capacity management of assigned resources.
- Key Client, Copyright Holder, and Author Relationships: Responsible for assigned key client, copyright holder, and author relationships, supports sales in new product requests.
- Translations-Related Procedures: Develops training and provides guidance on translations-related procedures within the department.
- Training and Presentations: Develops and presents training regarding CSTL process to various departments outside of translations.
- Instrument and Library Support: Provides instrument and library support and development, delivering deliverables.
- License Procurement Activities: Project manages license procurement activities, rater training, and any other specialized offerings.
