Clinical Project Support Specialist

Job Overview:

This role provides project-related support and assistance for assigned projects and project teams with minimal supervision. Projects are typically larger in scope and complexity than those supported by staff at a lower grade.

We are seeking an experienced Clinical Project Support Specialist to join our team. The ideal candidate will have excellent communication and interpersonal skills, as well as the ability to establish and maintain effective working relationships with coworkers, managers, and clients.

Key Responsibilities
  • Project Documentation: Establish and maintain all project documentation, including files, records, and reports according to standard operating procedures (SOPs).
  • Audit and Review: Assist with periodic review/audit of files for accuracy and completeness.
  • Information Management: Coordinate and track all information, communications, documents, materials, and supplies for assigned projects.
  • System Updates: Update and maintain internal systems, databases, tracking tools, timelines, and project plans with project-specific information.
  • Discrepancy Identification: Identify and escalate discrepancies in project tracking data, timesheet coding, expense data billing, interpretation of financial figures which may lead to identification of out of scope activities not previously reported.
  • Reporting: Prepare and distribute status, tracking, and project finance reports, and assist the project manager(s) with budget allocation and approval of invoices.
  • Presentation Materials: Prepare presentation materials for meetings (internal/external) and project summary data.
  • Meeting Coordination: Coordinate project team and/or customer meetings, including logistics and materials required.
  • Process Improvement: Coordinate with other project support staff within and outside the Clinical Project Management Unit to identify and consolidate support processes.
  • Support and Training: Will serve as primary backup contact for internal project team and for external stakeholders/customers as designated by project manager. Will undertake project management activities as directed by project manager. Train and mentor more junior project support staff.
Qualifications and Skills
  • Education: Bachelor's Degree in life sciences or other related field is ideal.
  • Experience: Typically requires 0-2 years of prior relevant experience.
  • eCOA Experience: Previous experience managing eCOAs would be beneficial or another electronic software.
  • Project Management: Previous project management experience is ideal.
  • Communication Skills: Good communication and interpersonal skills.
  • Results-Oriented: Results and detail-oriented approach to work delivery and output.
  • Planning Skills: Good planning, time management, and prioritization skills.
