We are seeking a detail-oriented and organized Virtual Assistant to support our sales team by managing daily tasks in our CRM system and ensuring accurate lead tracking and reporting.

Key Responsibilities:
  • Lead & CRM Management
  • Enter and update new lead information in the CRM system
  • Assign leads to the appropriate team members based on defined criteria
  • Merge and clean duplicate contact records
  • Reassign leads that are not being followed up on
  • Ensure all lead records are complete and accurate

Sales Reporting & Tracking

  • Record daily sales activity metrics (calls, conversations, appointments set)
  • Maintain and update performance dashboards and spreadsheets
  • Track the movement of leads through different stages of the sales process
  • Send daily summaries and updates to team leads

Data Quality & Auditing

  • Perform routine checks of CRM data to ensure accuracy
  • Identify and correct missing or inconsistent lead data
  • Support monthly data audits to ensure clean reporting

Team Communication & Support

  • Monitor team channels (primarily Slack) and assist with lead-related requests
  • Support appointment setters and sales reps with lead follow-ups
  • Keep internal communication logs and trackers up to date and organized

Lead Follow-Up Support

  • Launch follow-up sequences for older leads who haven't responded
  • Monitor high-priority leads and ensure they are being engaged

Requirements:

  1. Native English speaker (or at least professional level)
  2. Must be available in EST time zone
  3. Experience in sales
  4. Hubspot knowledge and experience
  5. Prior experience working with a CRM (HubSpot strongly preferred)
  6. Strong written and verbal communication skills in English
  7. Comfortable using tools such as Slack, Google Sheets, and spreadsheets
  8. Highly organized and process-oriented
  9. Detail-focused with strong follow-through
  10. Able to work independently with minimal supervision
  11. Experience working as a virtual assistant or in a remote operations role
  12. Weekend availability is a must
