Administrative Operations Coordinator

We are seeking a highly detail-oriented Administrative Operations Coordinator to join our Field Service AMER South Resource Team. As the ideal candidate, you would possess excellent communication skills and the ability to handle sensitive and confidential information.

Key Responsibilities
  • Track and monitor time entries for hundreds of employees based in Brazil, Chile, and Argentina.
  • Prepare time sheets for different countries' pay cycles.
  • Monitor time entry and follow up with employees to ensure time is entered properly and following local legislation and policies.
  • Manually enter workshop staff time into SAP.
  • Manually enter Contract operative and Maintenance staff time into SAP.
  • Extract data from SAP for Field Service personnel, ensuring accuracy and verifying legal requirements have been followed.
  • Reconcile and correct any timesheet discrepancies.
  • Cross-reference validation/clarification with HR & payroll third-party provider.
  • Follow up with Line Managers for on-time approval.
  • Maintain and update time sheet summary for employee follow-up.
  • Accountability for banked hours and follow up.

Requirements
  • University degree in Business Administration or related fields.
  • Experience and knowledge of Excel and SAP.
  • Advanced English proficiency.
  • Spanish knowledge is an advantage.
  • Skills: Excellent communication and teamwork abilities, self-driven with the ability to organize and prioritize daily work.

The estimated annual salary for this role is approximately $65,000 - $80,000, depending on location and experience.
