Sales and Conferences Coordinator Job Description

We are seeking a highly organized and detail-oriented Sales and Conferences Coordinator to join our team at Accor Hotels. The successful candidate will be responsible for responding to and tracking all sales and conferences inquiries, as well as supporting the Sales Managers with creating proposals, estimates, and contracts.

Key Responsibilities:

  1. Manage and track incoming sales and conferences inquiries, directing them to the appropriate Sales Manager within a 24-hour turnaround time.
  2. Check availability for guest rooms and function space.
  3. Under the direction of the Sales Managers, create proposals and estimates, and prepare formal contracts based on individual client needs.
  4. Block guest rooms and function spaces in property management software.
  5. Make reservations for dining outlets arranged as part of client bookings.
  6. Consult with the General Manager, Conference Services, and Chef for unique requests and pricing.
  7. Copy and distribute pertinent data concerning booked activities to relevant departments.
  8. Manage follow-up correspondence requests for proposals and contracts.
  9. Schedule and conduct site inspections with prospective wedding clients.
  10. Prepare weekly and monthly Sales reports.
  11. Maintain Sales collateral and create and update PowerPoint presentations for the Sales and Conferences department.
  12. Attend weekly Sales and Conferences meetings, communications meetings, and monthly Health & Safety meetings.
  13. Provide administrative assistance as required to Sales Managers and the Director of Sales and Marketing.

Requirements:

  1. Post-secondary education in business is an asset.
  2. Minimum 1 year of experience in administrative work.
  3. Previous hospitality experience.
  4. Strong computer skills with competency in Microsoft Excel, Word, and Outlook.
  5. Excellent verbal and written communication skills.
  6. Demonstrates high attention to detail.
  7. Self-directed and efficient with excellent time management skills.
  8. Excellent organizing skills with the ability to successfully manage multiple tasks simultaneously.
  9. Capable of working effectively while under pressure.
