Role Overview:

The Accounts Payable Specialist plays a vital role in managing the entire accounts payable process, ensuring timely and accurate vendor payments while maintaining compliance with relevant laws and regulations.

Key Responsibilities:
  • Invoice Processing: Review, code, and process invoices in accordance with company policies and approval workflows.
  • Vendor Payments: Ensure timely and accurate vendor payments via electronic funds transfer or wire transfer.
  • Reconciliation: Reconcile vendor statements and resolve discrepancies in a professional and timely manner.
  • Vendor Management: Maintain vendor files, W-9 forms, and ensure compliance with 1099 reporting requirements.
  • Cash Flow Management: Monitor accounts payable aging and assist with cash flow management.
  • Employee Reimbursements: Process employee reimbursements, ensuring compliance with company policy.
  • Collaboration: Collaborate with other departments to resolve invoice and purchase order issues.
  • Month-End Closing: Support month-end and year-end closing activities, including accruals and reporting.
  • Audits: Assist with audits by providing documentation and responding to auditor requests.

Required Skills and Qualifications:

  • Education: Associate's degree in Accounting, Finance, or related field (Bachelor's preferred).
  • Experience: 5+ years of accounts payable or general accounting experience.
  • Skills: Strong understanding of basic accounting principles and AP processes. Proficiency in Microsoft Office Suite, especially Excel; experience with QuickBooks is preferred.
  • Soft Skills: Excellent attention to detail, organizational, and problem-solving skills. Strong communication and interpersonal skills to effectively interact with vendors and internal teams.
